Speak Up: Giving a Memorable Presentation

Business-MeetingGrowing up, I dreaded public speaking. Despite my efforts to keep a safe distance in the back of the classroom, presentation day would eventually rear its ugly head.

Heart racing. Palms sweating. Butterflies fluttering.

Head down, I would make my way to the front and read my presentation verbatim from a stack of meticulously crafted index cards. I didn’t dare make eye contact with my peers. I got through my presentation as quickly as possible and hurried back to my seat.

Over the years, I have learned to quiet my inner teenager and trust myself. With age and experience, I’ve become less afraid of making mistakes. I’m by no means an “expert” speaker. My presentation style and delivery is under a constant state of construction. Like any skill, public speaking takes time and practice.

I don’t think my story is unique. I know many people who also fear public speaking. However, effective interpersonal and public communication is vital in our field. In graduate school, I encourage you to seek opportunities to enhance your communication skills. Challenge yourself to engage the audience beyond the podium (not behind it), experiment with different visual aids, seek feedback, or present a poster at a conference. Small steps can make a big difference. My belief is graduate school is inevitably shaping us into the practitioners, researchers, and psychologists we will become.

Below you will find some tips and resources that have helped ease my fear of public speaking. This is certainly not an exhaustive list so please comment on this post with any additional ideas. Cheers!

1. Make it a Conversation
I find it easier to talk with a friend over coffee than speak in front of a group. I like to apply this concept to presentations. I pretend I’m conversing with a friend. This results in a more natural, extemporaneous, and genuine delivery.

2. Speak with Intent
If you exude interest in your topic, your enthusiasm will come across to the audience. When planning, I like to think about what kind of presentation I would want to experience as an audience member.

3. Step away from the PowerPoint
Don’t get me wrong, I LOVE PowerPoint. Designing a PowerPoint or other visual aid allows me to express my creativity. Too often, however, I see presenters rely on their visual aid by reading directly from text-heavy slides.

My recommendation is to keep bullet points short and sweet. There are several formulas out there for the number of words each slide should have and the number of minutes you should spend on each slide. Personally, I don’t ascribe to these rules. I see memorable presentations as being more fluid and less black-and-white.

Ask questions of your audience, incorporate interesting pictures into your slides, and demonstrate appropriate eye contact. Have fun with your presentation. Remember, a visual aid should complement–not substitute for–a good presentation.

4. Seek Feedback
Our hard-earned graduate degrees will be made of blood, sweat, and feedback. Graduate school is teaching me to embrace constructive feedback from my peers and professors. Practice your presentation in front of a trusted friend, colleague, or family member and seek their feedback openly. If you’re feeling especially daring, ask them to record your presentation and then watch yourself. This can be one of the best ways of identifying verbal and nonverbal habits you may be unaware of.

If I knew then what I know now… If I could do it again… If I could go back in time…

We’ve all had these thoughts: What we’d do differently if given the opportunity. Would we have spent our time the same way? Would we have entered/ended that relationship? Would we have studied psychology? Would we have gone to graduate school?

If you could send a letter to your 16-year-old self, what would you say? What advice would you give yourself to prepare for the future? To my fellow nerds out there: Yes, we’re talking about parallel universes and warping the space-time continuum.

Dear me, future psychologist is a new feature exclusively on our blog. We will periodically publish a letter written by a prominent psychologist to his/her 16-year-old self. We hope you enjoy these letters and glean some invaluable wisdom and guidance as you decide whether to enter graduate school in psychology, as you navigate the challenges of graduate school, and as you make decisions about your career and life.

More recently, he served as a Dean at Tufts University, Provost at Oklahoma State University, and President at the University of Wyoming. He also is a Past President of the American Psychological Association. He is currently Professor of Human Development at Cornell University. He is best known for his research on intelligence, creativity, wisdom, thinking styles, leadership, ethics, love, and hate. He is the founder of the triarchic theory of intelligence and the triangular theory of love, as well as co-creator of the investment theory of creativity. DEAR-ME

FROM THE DESK OF ROBERT STERNBERG: 

Dear Me at 16,

I am not sure whether you will receive this letter, at least in a timely fashion, but I thought I would give it a try anyway. Here are three pieces of advice I hope you will find useful, ideally, sooner rather than later.

1. You will underestimate the importance of family and friends. You soon will come to believe that, through your work, you can achieve immortality, and that the shot at immortality is the meaning of your life.  Wrong.  First, very few psychologists achieve immortality through their work—perhaps Freud, James, Skinner, Piaget, and a few more.  But most psychologists are forgotten quickly starting with the day they announce their plans to retire. You will watch many of your famous Yale colleagues retire and see that what is left to them is not their work, which is quickly forgotten, or even their friends from work, most of whom are busy advancing their careers.  Rather, what remains is their family and true friends, if they have any.  You will discover that your meaning in life is making the world a better place, and that the main way you will do that is through your family, especially your five beautiful children and their children and onward through the generations.

2. You will overestimate people’s willingness to change.  You will enter a field, intelligence research, in which many people believe that traits are relatively fixed.  You will argue, correctly, that people are far more modifiable than many intelligence theorists give them credit for.  But what you will not realize until much later is that the main problem is not people’s inability to change, but rather, their unwillingness to do so.  People, including you, will make all kinds of excuses to stay just as they are.  They cling to their weaknesses, often inventing stories to justify doing so, and for them, their stories are their reality.  Institutions are the same way:  Mediocre ones desperately cling to their mediocrity, often inventing stories about their unappreciated excellence, and excellent ones cling to what they have done before in the hope that what once made them great will continue to do so, despite the rapid pace of change in the world.  Creativity often is appreciated in word, but not in deed.  The problem for psychologists is not so much increasing people’s ability to change as increasing their willingness and courage to do so.

3. Intelligence is not the invaluable commodity you think it is.  You, like most of our society, believe in the great importance of intelligence, although at least you realize it is much broader than just IQ.  But what most is lacking in the world is not intelligence, but rather, creativity, common sense, wisdom, and high ethical standards.  So please, do your work on intelligence, but remember that what the world needs most are motivated, creative, wise, and ethical people, not just smart ones.

Catching Fire: The Quest for a Postdoc

Mockingjay 1So, you survived “The Hunger Games” and landed an internship. The rest is downhill from here on out, right? If you are likely to be in the market for a postdoc, maybe not. Read on to see how I discovered the postdoc search to be much like an internship sequel that rivals the Hunger Games.

 1) Just when you’re starting your Victory Tour, your name gets called again. Like Katniss and Peeta, you arrive after the internship “games” grateful and relieved, ready to bask in the victory. Almost as soon as your anxiety comes down and you aren’t looking over your shoulder every few minutes for another obstacle, your name gets called again in the lottery. It’s time to select a postdoc. Not more than a couple months into your internship training, you have to reassess your skills, ask for reference letters, and choose sites. I have heard of some interns being asked on day one where they want to go on postdoc. In many cases, you haven’t even obtained the skills or experiences you need for postdoc upon application. This is especially true if you are slotted to complete specialty training in the second half of the internship year and are planning to apply for a specialty postdoc (e.g., trauma, neuropsychology, geropsychology). It’s hard to focus on the skills and training you are taking on during internship, your anxiety increases again, and your focus is on the next games instead of where you are. But, unless you’re positive you won’t need a license, know you’ll move to and stay indefinitely in a state that has passed sequence of training (i.e., you don’t need a postdoc), or are open to securing an informal postdoc, your name will be called again. It’s time to buck up for round two.

2) First to the Cornucopia gets the best tools. Similarly to the Hunger Games, in round two you’re at an advantage if you are among the first to, well, everything. Depending on the size of your internship class and supervisor pool, being the first to ask for recommendation letters is to your advantage as some people (think Training Directors) may be inundated with asks. For sites with rolling applications, the first to apply are the first interviewed, and therefore the first offered positions. Unlike internship, you are almost always competing for one or two slots, and the competition is steep. When you are offered an interview, sometimes you get a single day or a few days to make it there. For one site, I received an interview offer Thursday and was asked if I could come the next day to interview. If not, my next choice was Monday, Tuesday, or nothing. If you have things holding you back from the postdoc Cornucopia (e.g., limited time off from internship, lack of funds, other interviews), it’s even harder to get there first.

3) The quicker you figure out the Arena’s hidden traps the more likely you’ll survive. The Gamemakers of postdoc don’t always play fair, and there are lots of traps along the way. APPIC has a postdoc matching system that is highly underutilized by sites and the result is a kind of free for all. Depending on when one site’s applications are due and interviews are set, it is very possible that you could have an offer for a postdoc at one site before you even get an offer to interview at your first choice. Within the VA system, you typically have 24 to 48 hours to accept or decline an offer, putting applicants in the impossible position of accepting an offer that may be less preferable or chancing it and hoping they get a more preferred spot later. The alternative is accepting an offer and backing out later, something that is not looked on favorably for a young professional, but the system almost forces people into. Because there is no set notification date, sites are in direct competition to grab stellar applicants, and many sites continue to push their applications sooner in the year. In the VA system, there has been a push to follow uniform notification day, but on more than one occasion I was blatantly told that sites were not following the recommendation so they could make offers before others. It also seems more and more common that a site’s current interns are preferred and offered positions. While intuitively a known entity may be preferable to an unknown entity, sites cannot say outright that they prefer their own interns. If you are unaware of this like I was, you will spend hundreds of dollars buying plane tickets, hotels, food, etc. to attend an interview for a position you are unlikely to get. Many contend that in-person interviews are the way to go, but I highly recommend considering alternative options (e.g., telephone, skype) if the site allows for it. Ask training directors who their most recent postdocs are and where they came from before you invest more precious time and money. Lastly, in my experience many VAs are moving to competency-based interviews. For people like me who are pursuing specialty postdocs but aren’t getting their respective specialty rotation on internship until the last 6 months, you are at a disadvantage. I felt less confident in my ability to answer specialty-based questions and couldn’t provide the depth of case examples from internship in trauma that many of my competitors could. While most sites say they understand your situation, it makes sense to pick the more experienced person. Study up on your specialty (e.g., updated literature), prepare detailed case examples, and ask your internship site if there is any flexibility to add in specialty experience to your first rotation.

4) You need allies and gift givers in the Arena. Just like internship, you need good mentors and allies to help you make decisions, improve your application, and write letters of recommendation. Hopefully you have kept in contact with a few supervisors from graduate school, because odds are you will be in need of another letter of recommendation from someone who has known you longer than a couple months. You’ll need mentors to help you decide which postdoc is best for your training needs and long term goals. Your internship cohort can be a great place to find support and proofread cover letters. Similarly to internship, you are likely going to have to spend a money that you don’t really have based on an internship stipend. Ask friends to crash at their apartments, save money as soon as possible, and look for alternative travel options (e.g., bus, rental car, train/amtrak).

5) Right when you feel like you are about to be destroyed by a jolt of lightning, your genius saves the day. The stress and anxiety of postdoc are considerable, particularly if you are juggling more than one offer in the span of a day or two while waiting to hear from other sites. You may have just moved to a new city and are already having to consider where you will move next, possibly for another single year stay. If you have a significant other or family to consider, the stress is even higher. While waiting for interviews, it may feel like you won’t find a good fit or even get an offer. But, if you are prepared and thoughtful, the odds are likely in your favor to land a good training spot. No matter what happens in the first round, don’t panic. Tons of sites come up with postdocs at the middle and end of the year, so you will have other options. Again, however, for many specialty training programs, the best sites have a standard application process that begins early in the year.

I can only speak from my own experience, but I found the postdoc application process to be more stressful (over a shorter time period) than internship applications. I felt relatively confident in my ability to obtain an internship, but I did not feel as prepared for the postdoc system. It was a shock to fall right back into feelings of insecurity and uncertainty so soon after the internship match. It’s also important to consider the sites and type of training you are looking for in a postdoc. I was strictly in the VA system and applying only to trauma-focused training sites. Other opportunities (e.g., informal postdocs, postdocs later in the year) exist for those who may have less specific training goals. Regardless of your training needs, good luck fellow travelers. May the (postdoc) odds be ever in your favor.

 

Research – Get Involved!

Getting involved in research is an important and often necessary way to get prepared for graduate school in psychology. Research opportunities are usually available as long as you know where to look. Every year numerous students ask me questions about research opportunities – I hope this helps our blog readers better understand how to navigate this process.

Where to look for research opportunities

A great place to begin looking is your academic department’s website. I always encourage my students to read the faculty members’ profiles on our department’s website. This will help you get an idea of the research interests of your faculty. Decide which faculty members’ interests best match your interests. Then email the faculty member asking if you can meet with them to discuss their research and ways you might be able to get involved. Some faculty members will let you know they are not currently accepting any new students to their labs, other faculty members might not have research teams but might be willing to collaborate on a project with you. Some will immediately invite you to the next research team meeting, and some will schedule a meeting for you to come in and discuss your interests and determine your fit to the team.

  • If for some reason you are not able to join a research team with one of your department’s faculty, don’t hesitate to look outside of your department. I have a large research team of 15 students and half of these students are not from my department. If you plan to pursue research opportunities outside of your department you would do so similarly to how I’ve described looking for research opportunities in your department: think about fields of study you are interested in, go to that department’s website to read about faculty research interests, and then email faculty members.

Why finding research experience is important

Research is very important to the field of psychology. Psychologists are consumers of research, as our clinical work is influenced by research findings. Psychologists are also researchers, as research is the force that propels the field forward. Considering that research is important to the field, it is an important aspect of graduate training. If you plan to apply to graduate school in psychology, research experience helps graduate programs assess your preparedness for graduate training. Your involvement on a research team demonstrates your authentic interest in research and it suggests that you have more advanced skills than students who do not have research team experience. When reviewing doctoral applications for admission to the doctoral program I work in, I am always evaluating the applicant’s previous research experience.

So now that you know that getting involved in research is an important thing to do, you might be wondering what you will be getting yourself into. Being an active member on a research team can be very rewarding (I promise!).

  • First, something that should not be discounted, you gain exposure to the research process. I have found that some students have misconceptions about what research is and conclude that they are not interested in research because of this misinformation. In reality, research is very exciting, intellectually stimulating, and a strong vehicle for promoting social justice (get involved to find out how)!
  • Secondly, you can gain training and firsthand experience on how to conduct a research study from start to finish. You learn how to design a study (e.g., create research questions and hypotheses, select measures, review literature, etc.). You can gain experience in data collection, data entry, data analyses, manuscript writing, grant writing, and presenting research in public forums and at professional conferences.

If you are an undergraduate…Fundamentally, participation on a research team provides exposure to the research process. Having a history of participation in research gives you a strong background for entrance to graduate school. Participation on a research team also provides a way to network with professors. These professors will be great candidates to write letters of recommendation for graduate school or future employment.

If you are a master’s student…Research experience will be helpful when you conduct your own independent research (i.e., master’s thesis). Research team experience also helps you compete for entry in doctoral programs that have a scientist-practitioner model of training. Admissions to doctoral level graduate programs typically involve an assessment of your research interests and skills. Applicants are typically asked to talk about their research experience, and what they did specifically on past research teams. Participation in research with professors other than your advisor is a great way to learn alternate views of what research looks like, and is a great way to ensure strong letters of recommendation for future endeavors.

If you are a doctoral student…Research experience prepares you for your doctoral thesis, and helps an advanced student learn how to go about assembling her own research team to gather dissertation data. Research experience also helps in the realm of professional development by giving doctoral students the opportunity to present research at professional conferences and participate in the publication of manuscripts in scholarly journals. Research team experience prepares the soon-to-be-academic for assembly of their own research team once tenure track employment begins (there is life after grad-school)!

My hope is that you are thinking about research and how you can (need) to get involved. Involvement in research is critical in shaping the next generation of researchers – you!

Writing for publication: Lessons from the trenches

Not too long ago I had a conversation with a recent PhD. graduate about career issues and the struggles we go through to get established in the competitive environment that is academic psychology. Having climbed a steep learning curve myself as a junior faculty, I’ve always enjoyed passing on the lessons I’ve acquired along the way. As is the case with many young PhDs and junior faculty in general, this young colleague described extremely common struggles with writing for publication and the accompanying pressures that we feel to produce when it seems that everyone around us is lapping us with their published work. After talking with this young colleague, I thought it would be useful to share some of the lessons I have learned about professional academic writing. My hope is that it will help other colleagues who, like me, have encountered many writing frustrations and have begun to feel as if they have lost their way.

I think the key issues plaguing writing productivity among junior faculty and new professionals fall in six areas.

They are:

(1) lack of confidence about writing

(2) lack of knowledge of one’s personal rhythm/preferences with respect to writing

(3) lack of skill in writing for publication in scientific journals

(4) lack of familiarity and experience with the peer review process

(5) time management struggles and….

(6) lack of an extensive professional network.

I’ll address writing confidence and writing knowledge/skills in depth. I will also provide the names of resources I have found helpful along the way.

Becoming a Professional Writer
Lack of knowledge about how to write for publication in academic journals and other outlets is a common barrier to publishing for junior faculty. In my journey and those of my young colleagues, I learned that several issues with respect to the young scholar’s identity as a writer must be addressed. This will lay the foundation for the novice writer to develop the thick skin needed to endure the peer review process and to make it work for her. Learning about the peer review process can be mastered, but only after the writer has resolved some of the other issues first involving confidence and knowledge of personal rhythm and preferences as they relate to the writing process. Until these underlying issues are identified and addressed, academic publishing will always be a frightening, demoralizing process that derails many an academic career. I think that many young scholars struggle with publishing because of fear of rejection, not due to lack of capacity to learn the skills needed to publish successfully.

Young academics must first recognize that being an academic means being a professional writer. This idea was first presented to me in a book called, The Craft of Research by Wayne Booth, Gregory Columb, and Joseph Williams. It seems like an obvious point to me in retrospect, but hindsight is always 20-20. I don’t think everyone views it that way at the time they decide to pursue a doctoral degree. I certainly did not. If you fundamentally do not enjoy writing, academia may not be for you. This may seem like a harsh statement, but in my opinion you must derive some intrinsic joy from the challenges of writing or it is not worth some of the sacrifices. There are many wonderful ways to be happy in your career. Why spend your days doing something you hate?

If you know that academia is indeed for you and you simply need some help figuring out how to be a productive writer, spend some time identifying your attitudes about writing. Write them down. Are they generally positive or negative? Also spend some time thinking about the experiences that have shaped your attitudes about writing. Do you dread the writing process? Or do you dread the critical feedback on your writing from colleagues, mentors, and the peer-review process? Or is it both?

As cognitive-behavioral theory tells us, attitudes about writing can be changed once they are made explicit. If you are struggling with your writing productivity, it can be helpful to sit down and disentangle any negative beliefs that may impede your writing efforts as manifested through procrastination, writer’s block, and other common writing challenges. There are many myths that surround successful writing that may infect your writing experiences and productivity. Robert Boice addresses many of these issues and provides exercises for young academics to address them in his book, Advice for New Faculty Members.

One critical habit to successful writing is finding and sticking to a regular time to write in your schedule. Make it a regular, preferably daily, appointment in your date book. Do not give that time away to other demands on your time. In his book, The Art of Writing for Publication, Dr. Kenneth T. Henson advises writers to keep the tools of a serious writer nearby in all of the places where you write regularly. The obvious tools are a dictionary, thesaurus, any reference material, and your trusty APA manual.

  • Have a good writing handbook available that addresses each stage of the writing process, including outlining, paragraphing, revising, and proper usage of grammar and punctuation. Such a handbook will help you break down writing projects into manageable pieces and also help you respond to feedback you receive from your mentors and colleagues about ways to improve your writing and to edit your own work. Having these tools on hand will also reduce loss of precious time actually writing by eliminating the need to hunt them down during every writing session.

Revising Prose by Richard A. Lanham helps writers deal with the structure of the writing on the page so that it is clear and pleasing to the reader. It helps writers evaluate whether the sentences and paragraphs in the work address a single idea clearly and successfully. Why is this an important resource? Have you ever been asked to review a manuscript or grade a paper littered with 2-sentence or page-long paragraphs? These types of writing problems are always a signal to reviewers that the authors are inexperienced. Professional scientific writing must be technically accurate and meet the standards of polished professional writing of any published work. The more polished your initial manuscripts are when you submit them, the more likely reviewers are to take seriously the scientific findings you wish to convey in your document. Poor writing mechanics irritate reviewers almost immediately and undermine the persuasiveness of your work, no matter how exciting your research findings may be. It requires more work for the reviewer to wade through a poorly constructed document to figure out what you did and what you want to say about it. Given the time pressures reviewers are under, poor writing can aggravate reviewers and, in some cases, lead them to critique your work more harshly. Revising Prose will help you to evaluate your writing systematically in prior to submission and in response to critical feedback.

The Guide to Publishing in Psychology Journals by Robert J. Sternberg is an excellent volume on professional writing for psychologists. Sternberg invited several prolific academic psychologists to write a chapter addressing each type of product an author might produce (e.g., empirical journal articles, book chapters, review papers) along with strategies for documenting your research, writing for your audience (e.g., reviewers), and handling the revise-resubmit process. I found the chapters on writing introductions to journal articles and on writing compelling results sections extremely useful as I made my way up the publication learning curve. I refer to the Guide regularly and assign chapters to students working on various writing projects.

Developing Writer’s Confidence
Many students and young PhDs find writing aversive because of negative and/or erroneous beliefs about writing and a tendency to engage in negative self-talk during the writing process. In talking to others and reflecting on my own experiences, writing confidence is the biggest hurdle to clear for young PhDs (or students) who are serious about publishing their research. As one of my major professors said to me during my earlier struggles, writing confidence comes in part from believing that you have “something to say to the field.” You have interesting, innovative ideas and findings that you want to contribute to the field and have them shape the way the field evolves.

Writing confidence can also come from gauging the support and interest you receive about your work when you present it at various conferences. Think about it for a moment. You know when you’ve generated meaningful findings. The audience is excited about your work. You receive great feedback and interesting questions about your presentation. Members of your audience encourage you to publish your findings. You feel energized by the presentation and know you’ve connected with your audience. This feedback is authentic—it is a preliminary peer review process that helps you gauge the relevance of your work. Trust that feedback, sit down at your computer, and write. Turn that conference paper or poster into a manuscript. Try not to focus on issues related to publication at this stage. Just write. And keep writing until the paper is done. (Now there are issues related to selection of journal outlets that have to be considered, but the unsure writer needs to simply gain confidence that he can express his research findings clearly and persuasively first.)

As you deepen your knowledge about the mechanics of writing and revising your work, you will become more confident about your writing. This will help you figure out how to revise the early drafts of your paper and respond to critical feedback about your written work. With experience, you will be able to tell if: (a) your ideas or findings are compelling but need clearer, compelling writing to communicate them, (b) your research ideas need more work or development, or (c) whether someone is simply hostile to your work no matter how strong the findings are or how well you explain them in your writing. In any of these cases, the feedback will probably sting, but hopefully not for long. And hopefully, it won’t keep you from moving forward with the necessary revisions in the appropriate areas when you have a chance to process the feedback with a clear head.

Life as tenure-track faculty member can be a significant challenge because of the pressures to produce a fairly large amount of published work in a short period of time. In order to develop as a professional writer, you have to be regularly engaged in the writing process. Write regularly and submit your work for review. Over time, you will figure out your strengths and weaknesses as a writer and improve on these using tools such as the ones I am outlining here. Rejection can be scary, but take a deep breath and submit your work anyway. You will learn more quickly and meet success earlier if you fully engage the process.
